How do I complete data feed orders submitted through the Data Service Wizard?

NOTE: Data Feed orders are an assigned responsibility. Please check with your Team Lead if you have not been assigned the task. Access to the email folders and the Customer List Editor functions are granted by the Team Leads. Data feed orders placed by the DS Rep in the Data Service Wizard generate an automated email to dataorders@getauto.com. Check your mail folders in Microsoft Outlook. If you do not have access to the Data Orders folder, you will need access granted by your Team Lead. Expand the Data Orders folder. Within the folder, expand the Inbox folder. Under the Inbox folder, look for the Data Feed Orders folder and expand that. Expand the DS Orders folder - you should see DS Orders and Completed DS Orders. Within the DS Orders folder are the automated emails generated by the Data Service Wizard. Below is an example: - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - Dealership Name Order Number: ##### Lot Number: Lot ID from DSPlus System Id: System ID from DSPlus Franchise: ### Order Date: date & time order was placed Order By: name of rep who placed the order DATA DISTRIBUTION Service Type: Edit Distribution Type: Expanded Requested Services: name of data partner requested (Reynolds, DataOne, Dealerskins, etc.) - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - 1. Check the dealership in DSPlus and make sure it has at least a Classic package. We cannot set up a dealer in a data feed if they have no package. Also make sure there are no blocks on the account (NN, NE, ND, NP). 2. Log onto PartnerLink and type the name of the data partner from the 'Requested Services' section of the email into the 'Partner' field in the upper left corner. Press Enter and data partners with that name will load on the page. NOTE: if the data partner name is not in the list, it may be listed under an alias. Aliases are located in the Hitchhikers Guide (F:/Common/Public/Convenient%20Shortcuts/HitchhikersGuide%20Data.lnk) on the 'General Info' tab. Use CTRL/F to search for the name on the page. If the name doesn't appear in the Hitchhikers Guide, the Knowledge Base, or the Customer List Editor, go to a browser window and google the name of the data partner - sometimes this will bring up alternative names for the same company. If this doesn't bring up a name in our system, proceed to step #8 below. 3. Click on the Dealers link to the right of the data partner name. This will load the Dealer List. In the Search box at the top of the page, type in the dealership Lot Key and press Enter. The dealership will come up on the page. If 'Disabled' or 'Unused Dealer' is highlighted in the green bar underneath the tabs, check the 'Refresh Photo' and 'Mark as Enabled' boxes to the right of the dealership information and click Save Changes. If 'Active' is highlighted underneath the tabs, the dealer is already active in the feed. Note: Some data partners, like Vehix, require that the dealership be added to more than one feed. Your Team Lead should give you specifics when assigning you to do data orders. 4. Some data partners require an Alt ID. You will be prompted for this information when you save the screen to add the dealership to the feed. Examples: CoxNet, GM Certified and GM NonCertified require a DP#. Trilogy (Chrysler) requires a TR#. The Alt IDs are provided to the dealer by the data partner. You will not be able to proceed without that number. Please see NOTE in step 6 about replying to the automated email. NOTE: Cobalt and Cars.com require the dealer to call them to be added to their feeds. See step #8 for further instructions on these feeds. 5. Reply to the person who placed the order to let them know their request was completed and that the dealership will be included in the next scheduled feed to that data partner. (Feeds are sent to most data partners between Midnight and 3am.) NOTE: When you reply to the automated email, the To: name comes up as "DS System". Replace this with the email address in the "Order By" line of the automated email. Otherwise, it won't get to the right party. 6. Drag the email into the Completed DS Orders folder. You are finished at this point. 7. When the data partner name won't come up in the Customer List Editor, the Hitchhikers Guide, and Googling the name doesn't bring up any other aliases: reply to the person placing the order (see the NOTE in #5 above) to let them know that the company is not a current data partner. If they would like to become a data partner, someone from that company should contact our Business Manager, Will McGinnis, at will.mcginnis@getauto.com. He will help the company get set up. 8. For Cobalt orders, reply to the person placing the order to let them know that Cobalt adds dealers to the feed at their end and requires the dealership to call them directly (see the NOTE in #5 above). For Cars.com orders, Cars.com requires that the dealer call them to place the order. Cars.com will then email us with the order and their CC# which will go in the Alt ID field. Check the Cars.com folders in the Data Orders mailbox -> Inbox -> Data Feed Orders. If no order has been received for this dealer, reply to the person who placed the order (see NOTE in #5 above) to let them know that we have not yet received the notification from Cars.com and request that the dealer contact Cars.com to request the feed from Dealer Specialties. If the order was already completed, reply to the person who placed the order to let them know when this was done. If the order is in the Cars.com folder but is not yet complete, check with a Team Lead to find out who is working on those orders to get an ETA.
