How do I complete data feed orders emailed in from a Data Partner?
NOTE: Data Feed orders are an assigned responsibility. Please check with your Team Lead if you have not been assigned the task. Access to the email folders and the PartnerLink functions are granted by the Team Leads. Data feed orders are submitted by Data Partners through email. Some come into the Support mailbox but most are sent to DataOrders@getauto.com and are routed to the following email folder: Data Orders. Expand the Data Orders folder. Within the folder, expand the Inbox folder. Under the Inbox folder, look for the Data Feed Orders folder and expand that. Expand the Data Partner Orders folder - you should see Data Partner Orders and Pending Requests. The Data Partner orders will be in the Data Partner Orders folder. You should work through the folder from oldest order to newest. NOTE: Cobalt adds dealers to their feed from their end. Cars.com orders are handled separately. 1. Check the dealership in DSPlus and make sure it has at least a Classic package. We cannot set up a dealer in a data feed if they have no package. Also make sure there are no blocks on the account in the Export Codes field (NN, NE, ND, NP). 2. Log onto PartnerLink and type the name of the data partner from the Requested Services section of the email into the Partner field in the upper left corner. This will bring up all feeds with that name. NOTE: if the data partner name is not in the list, it may be listed under an alias. Aliases are located in the Hitchhikers Guide (F:/Common/Public/Convenient%20Shortcuts/HitchhikersGuide%20Data.lnk) on the 'General Info' tab. Use CTRL/F to search for the name on the page. If the name doesn't appear in the Hitchhikers Guide, the Knowledge Base, or the Customer List Editor, go to a browser window and Google the name of the data partner - sometimes this will bring up alternative names for the same company. If this doesn't bring up a name in our system, check with your Team Lead. 3. Some data partners, like Vehix, require that the dealership be added to more than one feed. Your Team Lead should provide a list of exceptions when assigning you to handle the data orders. 4. Click on the Dealers link to the right of the data partner name. If dealers already in the feed have an Alternate ID, you will need one to add the new dealership. Examples: CoxNet, GM Certified and GM NonCertified require a DP#. Trilogy (Chrysler) requires a TR#. The Alt ID should be included in the email from the Data Partner. 5. Copy the Lot Key from DSPlus and plug it into the "Search" box in the upper left of the page. This will bring up the dealership. If the 'Active' link underneath the tabs is highlighted, the dealer is already in the feed. If 'Disabled' or 'Unused Dealer' is highlighted, the dealer has not yet been added. If the dealership is not active in the feed, click the 'Refresh Photo' and 'Mark as Enabled' boxes to the right of the dealerhsip name. Click Save Changes. 6. Reply to the person who placed the order to let them know their request was completed and that the dealership will be included in the next scheduled feed to that data partner. (Feeds are sent to most data partners between Midnight and 3am.) 7. Drag the email into the Completed Orders folder just above the Data Feed Orders folder under Inbox. You are finished at this point.
