Billing issues in RapidLot, as of 3/12/24

Here are issues that can affect RapidLot billing/invoices, per the development team: As we work on billing issues, these are some of the things that we are noticing that would reduce some the billing issues people are experiencing 1) Make sure billing is set up and prices are accurate. This can be verified by the manager or the rep in the Rapidlot Billing screen under contracted services. 2) Make sure billing service groups are assigned to each of the warranties. If a warranty does not have a service group assigned and was used for a vehicle in rapidlot mobile - the vehicle will not be billed 3) Any time the pricing changes for the dealer or a contract is renewed/updated, it is better to verify the warranty and billing group association as if the old service groups are disabled and onboarding has to create new service groups, the previous associations are not valid and this could interrupt billing. 4) The reprints not being billed is one of the biggest issues currently and a fix is in testing that should alleviate this issue. 5) If the photos do not match the count specified for the warranty vehicle will not be billed. Overriding the photo-count for an individual vehicle will bill full price for any "reason" selected except "Pre-detail". 6) If the photo uploads are being done through Vinmotion and the other work is being performed in rapidlot, the vehicle will not be billed if it is set up to be billed for photos. 7) If the dealer is a label only dealer but is not set up in billing as such it will not be billed. Make sure the onboarding team knows that a dealer is a label only dealer so that billing can be configured appropriately. 8) Every vehicle in Rapidlot mobile on which work is being performed even if it is just adding videos should have a warranty assigned as warranty association is the way billing works. Following/verifying that the above things are being done, will reduce the chances of mistakes in billing while we work expeditiously in identifying and fixing the other one off types of billing issues. **Note: please notify Allison Mosely about any issues where services weren't billed.
